We recently implemented a new feature into the Atollon system after receiving an urgent request from one of our existing clients — an advertising agency. The agency needed to maximize its client engagement and guarantee customer satisfaction. We realized that during contract finalization, the agency needed to more thoroughly review its client’s employee contributions, as well as the delegation of tasks from one worker to another. Then, at the completion of the task, the agency needed to check the quality of output. The company had previously dealt with this type of assessment outside the system, filling control checklists and using outside vendors. It was also necessary that managers and staff completed inventory checks. Over time, this procedure proved to be unproductive, and it became necessary to fix it systematically.
After creating a new version of Atollon (in November 2011), we solved the agency’s needs by adding a tool that expands task possibilities. It is now possible to connect a user-created form to the specific task. You can identify mandatory columns in the form that the user must complete before the task is “closed.” It compels the user to pursue activities within the task, which otherwise might slip by. The Atollon form automatically creates assignments, depending on the type of a task. For each type of task, you can record two forms: one that specifies the inputs (in other words, “what must be accomplished before entering the task”), as well as one that attaches a form specifying the control list before conclusion of the task (in other words, “what specifications must be met to complete the task”).
Examples of use include:
- Checking and registration of data input
- Tasks output checking
- Product quality testing
- Verification of the order completeness
- Monitoring the implementation of orders
These functions can be used in different cases, even outside the realm of advertising agencies. For example:
